How to Create a Maintenance Ticket from an Inspection:
For a more streamlined approach to dealing with maintenance issues, you are able to create maintenance tickets directly from the inspections that have been upload.
Proactive maintenance is always better, than reactive maintenance.
Navigation: Inspections > View Inspection > Recommendations Filter > New Ticket > Select Issues > Create Ticket > Complete Ticketing Workflow
- Click on Inspections
- Find the required inspection by using filters and/or the Search function
- Click on View
- Click on the Maintenance Recommendation filter, this will display only items which Maintenance Recommendations were made.
- Click on New Ticket, select all the Items to be included on that ticket by selecting the Check-box in front of the item
- Click on Create
- Fill in the Ticket Details
- Click on Next
- View Selected Checklist Items, you can set the starting action by clicking the Edit icon.
- Click on Next
- Edit the Service Provider Task Settings as required
- Click on Next
- Set the Communication Scenario to Requesting Quote
- Search for and select Service Providers who will be requested to quote (Multiple selections are possible where more than one quotation is required).
- Set the method of notifying the Tenant, Landlord and Service Provider.
- Click on Next.
- Set the Ticket Phase to Awaiting Quote.
- Set the Reminder Date for the To-do.
- Assign the To-do.
- Click on Next.
- TR numbers are indicated next to the items for which the Maintenance Ticket have been opened
- The ticket is automatically filed under the Ticketing tab of the Inspection.
- Repeat the steps to open Tickets for the rest of the Maintenance Recommendations.
Navigation: Inspection Overview tab.
- Set the Inspection Status to Completed.
- Click on Save.
- Exit the Inspection.
